TERMS AND CONDITIONS

Unless otherwise stated, these terms and conditions shall apply to Tellus Group Ltd. and its associated companies. Terms within programme descriptions, found on this website, also apply as terms and conditions.

WEBSITES

While every effort is made to ensure accuracy of information contained on the group websites some errors may still occur. Pictorial content is generic in nature and should not be viewed as "particular" pertaining to type.

GENERAL TERMS

NATIONALITY

There is no restriction on nationality, but Participants who need a visa to come to the United Kingdom are advised to check the requirements for UK visas (see Visa information).

REFUND POLICY

We have a refund policy for students, excluding the deposit fee as outlined in the registration form. Visa students must provide satisfactory evidence that their visa application was rejected.

FEES AND CHARGES - AGREEMENT

All fees and charges will be agreed in writing prior to any Programme Booking.

BOOKINGS AND REGISTRATION

All Programme Bookings and Registrations must be based on the agreed documentation. If you do not have a special agreement with Tellus, then you should use the appropriate Booking and Registration Documentation.

Overseas Participants who require accommodation and or work placement must complete their booking and registration within at least twelve weeks before their arrival in the United Kingdom.

Overseas and local Participants who do not require accommodation and or work placement must complete their booking and registration at least eight weeks before commencing their programme, or as agreed between them and Tellus.

Advanced booking as stated above is necessary if the ‘preferred programme requirements’ are to be reasonably realized. Delayed booking, reasonably considered avoidable by the Participant and resulting in the need to provide ‘alternative’ rather than the ‘preferred programme requirements’ will be deemed the responsibility of the Participant.

DISCOUNTS

Group Bookings - Additional discounts are available for group bookings, please consult the price list.

Bring a Friend - Individuals can earn a discount on their bookings if they book directly with us and bring a friend paying the full rates, please consult the price list.

Other discounts are at the sole discretion of Tellus.

CONTRACT

The contract is signed between Tellus Group and the promoter/individual.

INVOICING

After we have received your formal booking or registration form, we will send you an invoice by email. If you need the original paper copy of the invoice, you will need to send us the details where you want us to send it.

PAYMENT

All bookings and registrations must be followed with 70% of your fees 4 weeks before arrival and 30% two weeks before departure or 100% Euros, depending on the programme duration.

Apart from any special agreements between you and the school, all the other fees and charges must be paid before the planned arrival of the individual or group.

LATE PAYMENT

You agree to pay Tellus Group the amount invoiced on or before the due date. If the invoice is not paid by the due date, a compensation element and interest may apply.

BANK CHARGES

You must pay all bank charges relating to the booking or registration. Also, if there are any bank charges for the transfer of funds into the Tellus bank account, you will be responsible for the payment of these.

CANCELLATION AND REFUNDS

In the event that you have to cancel your Programme, we will charge you the following:

Up to eight weeks before arrival: €150 administration fee per individual
Between six and eight weeks before arrival: 25% of all fees and charges of €150, whichever is the greater
Between four and six weeks of arrival: 50% of all fees and charges
Between two and four weeks of arrival: 75% of all fees and charges
Within two weeks of arrival: 100% of all fees and charges

TRAVEL TO AND WITHIN THE UNITED KINGDOM

The organisation, management and payment of travel to and within the United Kingdom are not the responsibility of Tellus, unless you have asked us to do any of this for you. If Tellus is asked to organise and manage such travel, this will be agreed in writing in advance and charged for as an additional service.

Where we organize accommodation you will be met at your city of residence by the accommodation provider or one of our staff.

ARRIVAL IN THE TOWN WHERE YOU ARE GOING TO WORK OR STUDY

You are required to organise your travel to make sure that you arrive at the time you have specified. If you arrive at a different time and do not contact us in advance, you will be charged an additional 'Out of Hours Meet and Greet' Fee of €50 per person.

INSURANCE

All Participants should ensure they have appropriate insurance cover for their personal possessions, any medical, health, repatriation needs etc. Tellus is not responsible for the organisation of or the payment for these costs. Where Tellus is asked to organise and pay for insurance, this will be agreed in writing in advance and charged as an additional service.

DOCUMENTATION

All students/Participants must provide Tellus with copies of the following documentation on or before arrival at the school:

THE REGISTRATION FORM ONLINE

A photo copy of their Passport and/or National Identity Card (we will need to see the originals upon arrival)

A photo copy of their medical and travel insurance (we will need to see the original upon arrival)

A photo copy of their Visa or Permit to Stay (we will need to see the original upon arrival)

A CV and covering letter.

ACCOMMODATION

Accommodation is in units of a calendar week (Sunday to Saturday); a full week's accommodation fees will be charged for a partial week's Accommodation. Whilst every effort is taken, by registration and inspection, to ensure that accommodation is of a safe environment, Tellus does not take responsibility for any loss, damage, accident or otherwise as a consequence of the students/Participants residing in the accommodation.

HEALTH AND SAFETY

Whilst every effort is taken to ensure that students/Participants have a safe environment, whether in our premises or those of our agents, Tellus does not take responsibility for any loss, damage, accident or otherwise.

PERSONAL POSSESSIONS

Tellus does not take responsibility for personal possessions in the keeping of Tellus, its agents or otherwise. Personal property is the sole responsibility of students/Participants. Tellus advises students/Participants to have appropriate insurance.

MISCELLANEOUS

Some elements of the course may take place outside; where this is the case, students/Participants agree to undertake these activities and in doing so confirm that they have suitable insurance cover. If outside activities have to be cancelled due to rain no refund will be given.

Students/Participants requiring a student/Participant visa must be enrolled for a course of minimum 15 hours per week.

All Tellus courses are undertaken at the client's own risk. Tellus cannot be held liable for damage or accident to student/Participant's person or property.

Students/Participants are required to take out personal accident insurance before departure.

Tellus reserves the right to refuse admission to any student/Participant or to dismiss any student/Participant without refund of tuition fees in the event of misconduct or unsatisfactory attendance or work. In the case of behaviour which causes offence to staff, host families or other clients, dismissal may be without notice, and no refund of fees will be made.

During our courses we sometimes take random photographs and video footage, some of which may be incorporated into future publicity material. If you do not wish to appear in any promotional publications, please advise us in writing before the start of your course.

Tellus may from time to time change terms and conditions as stated on this website.

Changes in terms and conditions affect all bookings. Changes to terms and conditions are considered as notified by their publication on this website.

AGE LIMITS

Participants participating in Work Experience (Internship), WESP (Work and English combined Programme) or Paid Work Placement Programmes must be aged 18 or over. Participants participating in Work Trial Programmes must be aged between 14 and 17.

Participants enrolling on English Language Training Programmes as individuals must be aged 12 or over (Junior Programmes) and 16 and over (Adult Programmes).

NATIONALITY

Due to visa and work permit requirements, those participating in full-time Work Experience (Internship) or Work Trial Programmes must be citizens of a member state of the European Union.

Those participating in a work experience programme that is funded by the European Commission may be visa Participants as there is a dispensation for such programmes.

Work Experience (Internship), Work Trial and Work and English Combined Programmes (WESP), are organised in accordance with the information provided on the registration form (and other supporting documentation), completed and submitted by the Participant. Where a Work Experience (Internship), Work Trial or WESP Programme is not appropriate to the needs of the Participant because of an error on the part of Tellus, an alternative programme will be organised at no additional cost to the Participant.

Where a programme is not appropriate to the needs of the Participant because the information provided by the Participant to Tellus had been misleading or otherwise inaccurate, Tellus will attempt to organise an alternative programme, although no guarantee is offered that an alternative will be found. Where an additional programme is found, Tellus reserves the right to charge an extra organisation and management fee.

Where a student/Participant is dismissed by their work place provider, depending on the circumstances, Tellus reserves the right not to find an alternative placement.

PAY AND REMUNERATION FOR TELLUS PROGRAMMES

Work Experience (Internship) Programmes are not paid positions. Some programmes may offer pocket money at the discretion of the work place provider.

Hours of work for all Work Experience (Internship), Work Trials, WESP and paid work placement programmes. Tellus cannot guarantee the number of hours of work offered to the Participant by the work experience provider. However, Tellus will endeavour to secure full-time placements appropriate to the sector. If you require part-time work placements you must communicate this in advance. Participants must be aware that the actual hours they work will be determined by the company in which they work but should not exceed 37.5 hours per week.

LEVEL OF ENGLISH FOR ALL WORK EXPERIENCE PROGRAMMES

For Participants coming to the United Kingdom on a Work Experience (Internship), Work Trials, WESP or Paid Work Placement Programmes the minimum of 'Intermediate' level (B1/B2) of English is preferred. This means that they should be able to hold a reasonable conversation in English, and be able to read and write simple, non-technical documents and understand health and safety instructions.

Where a Participant arrives in the United Kingdom and their level of English is not appropriate, they may be required to attend an English Language Training Programme at an additional cost.

Where their level of English is so poor that the work experience provider is unwilling to accept the Participant into their company, Tellus will endeavour to find an alternative placement, but this cannot be guaranteed. Where an alternative placement is found under such circumstances, Tellus reserves the right to charge an extra organisation and management fee.

WORK EXPERIENCE PROGRAMMES AND ACCOMMODATION

Where accommodation is not taken as part of Work Experience Programmes the single person (Individual) rate of Administration fee is to be paid e.g. €600.

As part of the formal Programme documentation, every Participant is asked to read through these guidelines and indicate their agreement at the end of the document. This document forms an integral part of the contract between Participants and Tellus.

PARTICIPANT ARRIVALS

The Participant understands and agrees that:

Where we provide accommodation participants will be expected to arrive at their destination between 0800 and 1900. If they arrive during this time, they will be met by a member of Tellus Group or their accommodation provider. You should arrive between 07:00 - 23:00 (please see arrival form).

If Participants do not arrive between these hours, they will have to pay an out of hours arrival supplement.

WORK PLACEMENTS

For Participants registered on a Work Experience or Paid Work Placement Programme, they understand and agree that:

Their level of English has to be good enough to enable them to hold a confident conversation with their employer, if not they must be realistic about the type of work they can do.

We reserve the right to refuse to find a placement for them, or withdraw them from a Work Placement if their English does not reach this preferred standard.

We reserve the right to enrol them onto an English Language programme if their level of English does not reach the standard above. This will be charged to them as an additional cost at the appropriate rate specified in our schedule of charges.

CONDITIONS OF EMPLOYMENT

Whilst we attempt to find them the best possible Work Placement, we cannot guarantee either the hours of work or rates of pay (where in a paid Work Placement).

Their administration fee covers the cost of their first Work Placement only. Any changes will be dealt with on an individual basis and may be charged for as an additional Administration Fee.

Their conditions of employment will be determined by the employer and they will be required to abide by them.

They will be responsible for notifying their employer AND Tellus Group of any absence from their work place. Being absent from their work place without a good reason for more than two days will result in their exclusion from the programme. If their absence is due to illness, and this illness lasts for more than three days, they are required to see a doctor and obtain a doctor's certificate. Any exclusion or absence from a programme will be noted on their Certificate. No refund will be given if they are excluded from a programme. No alternative Work Placement will be offered if they are excluded from a programme.

They will get a Certificate for their Work Placement at the end of their programme.
Whilst we do our best to secure the best work placement for them, we cannot guarantee any particular type of job, company or town.

All Participant Work Placements are allocated by a Work Placement Officer employed within Tellus Group, and their decision is final.

Work Placements are allocated in accordance with the information provided by the Participant on their Registration Form. Most Work Placements are subject to an induction interview with the prospective employer, and Tellus Group cannot be held responsible for the lack of a job due to their poor performance in an interview.

We will use the information provided on the application form to find a suitable Work Placement. This means that we will send information to prospective employers and other agencies as appropriate and necessary.

During their Work Placement, they have a contract with the respective institution and are subject to the regulations of a normal employee-employer relationship albeit it is unpaid work experience. We would especially ask them to remember that whilst at the work placement they are expected to behave as an ambassador for their country. Most importantly future placements for their colleagues and friends are dependent upon their behaviour!

Working hours will be determined by your prospective employer. As a guideline however, every participant has to work approximately 8 hours per day, five days a week. Work may include weekends, early mornings or late evenings. They are expected to complete two weeks in their Work Placement before making any judgements. Remember that for the first two weeks their Supervisor will be constantly assessing their capabilities. At the beginning they will not be given too much responsibility, until they have had a chance to determine how they use their initiative (this means being able to complete tasks and finding new ones without having to be asked or told to do so). Once their supervisor is confident of their abilities, their responsibilities may increase. This may be a little frustrating for them, so they must be patient and demonstrate flexibility.

They can only change their Work Placement in exceptional circumstances and then only after a meeting and discussion between the employer and employee. Participants agree not to approach our Work Placement providers for alternative employment, whether directly or indirectly through a third party.

At the Welcome and Orientation Meeting, participants will be required to give a copy of their passport and identity card to Tellus Group.

At the Welcome and Orientation Meeting, participants will be issued with all appropriate company documentation and will be required to make any payments due to Tellus Group.

TRANSPORT

If a local travel pass is issued or purchased, the Participant understands and agrees that:

They will be responsible for its safe keeping and should keep it safe and secure.
They are responsible for its replacement if it is lost or stolen.
They must abide by the rules of issue that are detailed on the pass.
No refund is available for any unused portion of their travel pass.

ACCOMMODATION

With regard to accommodation, the Participant understands and agrees that:

Tellus Group cannot guarantee that they will get the class of accommodation they have requested, so we may place them in another type of accommodation. However, Participants will only pay for the type of accommodation they have agreed on, even if they are upgraded. If they are downgraded, they will receive cash back.

They will observe the rules and regulations of the accommodation in which they live, either verbal or written. They will seek permission from the owner or other residents before inviting visitors to the house or allowing them to stay overnight.

During their stay, they will be responsible for any damage they or their guests cause to their accommodation. They will pay for all damages to their accommodation caused by them or their guests.

During their stay, they will be expected to contribute to the cleanliness and tidiness of their accommodation. They will not deface the decor of the accommodation. They will leave the accommodation as clean, tidy and orderly as they have found it on their arrival.

During their stay they will be responsible for the safety and security of their own personal possessions, including their money and travel tickets.

Accommodation can be up to 55 MINS travel time from their place of work or language training. Distance to work within this time limit is no reason to change accommodation or for complaint.

If they are asked to leave their accommodation by the owner, landlord or Tellus Group because of a breach of this agreement, he/she has no right to new accommodation provided by Tellus Group.

Differences in quality between accommodation addresses (e.g. distance from their work placement or for equipment like telephone, washing machine, TV, etc) is no reason to change accommodation or for complaint.

A change of accommodation is only possible in exceptional circumstances and with the prior approval of Tellus Group. During their stay, we may need to move them from one accommodation to another. Whilst we will try to avoid this, we reserve the right to do so.

For some accommodation, Participants may be required to pay a security deposit. Where this is the case, they will be notified two weeks before arrival.

ENGLISH LANGUAGE TRAINING

COURSE DURATION

English tuition is charged in blocks of 15 hours, 20 hours, 25 hours or 30 hours per week. A full week’s tuition fees will be charged for a partial week’s tuition. In the event of a bank holiday, Tellus will attempt to make up the lost hours, but this is at the discretion of the English Language Training department. It is recommended that participants do not arrive or on immediately before a bank holiday, as it may not always be possible to make up lost hours.

LANGUAGE TRAINING

For Participants registered to undertake Language Training, they understand and agree that:

If they are not able to attend their classes, they must Tellus Group immediately, so that their teachers can be notified

Being absent from their classes without a good reason for more than two days will result in their exclusion from the course

Any exclusion or absence from a course will be noted on their Certificate.

They will get a Certificate and an Academic Report for their language course at the end of their programme.

If they are excluded from a language course, they may be asked to return to their home country without refund.

They must pay for all course fees before the start of the course or the due date agreed on their Payment Schedule.

COURSE BOOKS

Participants may be expected to buy their course books:

If the course is longer than 3 weeks.
If the course is an examination course, ESP course or Business English course.

Participants may be expected to pay a deposit for using the course books:

If the course is shorter than 4 weeks.
If the deposit will be refunded if undamaged and not written in.

TIMETABLE

English lessons are as follows (Monday – Friday):

For 15 hours / week: 09:00 – 10:30 11:00 – 12:30 (mornings)
For 20 hours / week: mornings and 13:30 – 14:30
For 25 hours / week: mornings and 13:30 – 14:30 14:45 – 15:45
For 30 hours / week: mornings and 13:30 – 14:30 14:45 – 15:45 16:00 – 17:00
Evening classes are only available if there are more than 6 studentsParticipants in the class and if it has been agreed in advance with the Director of Studies.

If students/Participants are late for class, they may be refused entry and will have to wait in the student/Participant area until the next lesson. Their absence will be recorded in the Academic Report and on the Certificate.

WEEKLY PARTICIPANT SOCIAL EVENING

The Participant understands and agrees that:

Attendance at the weekly social evening on Tuesdays between 20.00 and 21.00 is a preferred compulsory element of their programme.

Participants are invited to give a presentation at the social evening which is usually about their home town and country.

If they are unable to attend the social evening, they must notify Tellus Group beforehand.

Any cultural activities organised by the company are charged for in addition unless otherwise stated. They are responsible for the payment of any Cultural activities they book, at the time of booking. No cultural activities organised by Tellus Group are compulsory, unless as part of a Junior Programme.

Juniors (under 18) enrolled on the summer programme are required to ATTEND ALL ACTIVITIES on their programme.

REPORTS AND CERTIFICATES

The Participant understands and agrees that:

They are required to write a personal report on their project, which must be passed to Tellus Group one week before the end of their programme.

They will receive the following Certificates:

Confirmation of participation at the language course (where appropriate)
A Work Placement Certificate from Tellus Group
If they need a reference from their employer, they must request this directly.

PUBLICITY AND DISSEMINATION

The Participant understands and agrees that:

Tellus Group may choose to publicise their experience in local, national or international media.

They agree to Tellus Group using any material, statement or anecdote in its marketing and public relations materials and activities.

PARTICIPANT DEPARTURES

The Participant understands and agrees that:

Tellus Group may inspect their accommodation before they leave to ensure that the conditions of this agreement had been adhered to. All payment schedules will be checked to ensure that they are up to date. If they are not, the Participant will be required to pay any deficit.

KEY PRINCIPLES

The Participant understands and agrees to our 7 Key Principles:

They will have respect for other Participant’s privacy, possessions and personality.

They will work hard to develop their language ability whilst in the UK.

They will attempt to speak English when in a multi-national group setting.

They will help Tellus Group improve their services by filling in the online feedback, and approaching the relevant members of staff in the event of a problem.

They will not abuse their Work Placement and spoil it for future Participants.

They will do their best to take advantage of the opportunity they have been presented with.

They will act in a professional and mature manner at all times.

PARTICIPANT DECLARATION

I, as the Participant named at the head of this agreement, have read all of the guidelines, terms and conditions and confirm that I understand them and agree to abide by them as detailed.

I also confirm that if I have cause to make any complaint during my stay in the United Kingdom, I will put this in writing and pass it to the COMPLAINTS AND COMPLIANCE MANAGER and help them to resolve the issues in good time.
